With multiple households, varying budgets, and complex bookings (like large villa rentals), manual tracking is highly inefficient. 1. Apportion Villa Rentals by Occupancy

Large villas or cabins offer bedrooms of varying size and quality. Instead of splitting the rental cost equally, divide it based on room assignments. Couples occupying master suites should pay a higher percentage, while single travelers in smaller rooms or shared spaces pay less.

2. Set Up Category-Specific Ledgers

For large trips, categorize expenses into clear buckets: Accommodation, Shared Dinners, Transport, and Activities. This allows participants to opt-in or opt-out of specific categories. For example, members who do not drink or participate in excursions are not charged for those categories.

3. Settle Up Deposits Early

Large trips require substantial advance bookings and deposits. Set firm deadlines for group contributions. If an organizer pays a deposit, other members should reimburse their share within 48 hours to prevent the organizer from carrying a heavy financial burden.
